Privacy Policy

What we collect
- Account data: name, email, role.
- Project data: customer name, jobsite address, plan files, photos, scope notes.
- Signature data: typed name, drawn signature image, IP address, timestamp, and user agent (kept as part of the signed-document audit trail).
- Operational data: sign-ins, role changes, document edits (audit log).
How we use it
To operate the Service, generate permit/HOA submittals, send notifications, and maintain a legally defensible audit trail. AI features may transmit project content to our AI provider for inference; no data is used to train third-party models.
Sharing
We share data only with: our hosting and AI infrastructure providers (under contract), authorities having jurisdiction when you choose to submit, and law enforcement when legally required. We do not sell personal information.
Retention
Signed contracts, change orders, estimates, and their audit trails are retained for at least 8 years to match Arizona's statute of repose for construction (A.R.S. § 12-552). Other project data is retained while your account is active and for 24 months after closure. You may request earlier deletion subject to legal-hold and recordkeeping obligations.
Security
Data is stored encrypted at rest and in transit. Role-based access controls and row-level security limit visibility to your team. No system is perfectly secure — report concerns to support@aeoutdoorliving.com.
Your privacy rights
Regardless of where you live, you may ask us to:
- Access the personal information we hold about you;
- Receive a copy in a portable format;
- Correct inaccurate information;
- Delete your personal information (subject to the 8-year retention above);
- Opt out of any sharing of your personal information for cross-context behavioral advertising — we do not sell or share personal information in the CCPA/CPRA sense and have not done so in the prior 12 months.
Submit a request through our Privacy Request form or email support@aeoutdoorliving.com. We respond within 45 days and will not retaliate for exercising your rights. You may designate an authorized agent to act on your behalf; we will verify your identity before acting.
Cookies and analytics
We use only the cookies/localStorage entries needed to keep you signed in and to remember UI preferences. We do not use third-party advertising trackers.
Children
The Service is not directed to children under 16 and we do not knowingly collect data from them.
Changes
Material changes will be posted on this page with a new "Last updated" date.
